Trade Buyer Pre-registration Guideline
This document outlines the guidelines, eligibility criteria, and procedures for pre-registering as a trade buyer for the Beauty Business Malaysia exhibition. Successful pre-registration will entitle you to be a part of Beauty Business Malaysia Connect, where trade buyers/members can participate in our programmes that offer exclusive benefits and a highly productive visit.
1. General Guideline
- Purpose: The pre-registration process is designed to streamline entry for genuine trade professionals, ensuring a focused and efficient business environment at the exhibition.
- Pre-requisite: All buyers are required to complete the official online pre-registration form.
- Confirmation: Upon successful registration, a confirmation will be sent to the provided email or via WhatsApp. This confirmation is crucial for on-site verification.
2. Eligibility Criteria
Pre-registration is exclusively for bona fide trade professionals. Applicants must be able to demonstrate their involvement in one of the following sectors:

Business Types:
- Beauty salons, spas, wellness centers, and clinics
- Distributors, importers, exporters, and agents of beauty, spa and wellness products
- Retailers (e.g., department stores, pharmacies, e-commerce) specializing in beauty, health, and wellness products
- Manufacturers and R&D professionals in the beauty and personal care industry
- Working professionals from beauty schools, academies, or training centers. Students do not fall into this
- Supporting Documents (for verification):
- A valid business card with the person’s name and company details;
- Company registration documents (e.g., SSM) or a valid business license;
- A letter of authorization from your company, printed on official letterhead; and/or
- A copy of your professional license or relevant professional certification.
3. Process and Procedure
3.1. Online Pre-Registration Stage:
- Online Form Submission: Applicants must fill out the online pre-registration form completely and accurately through the official Beauty Business Malaysia website.
- Document Upload: Upload the business card and/or necessary supporting documents as listed in the eligibility criteria.
- Submission: Submit the form for review. The review will take three (3) business days (at least).
3.2. Verification and Review Stage:
- Initial Screening: The organiser’s team will review each application to ensure all required fields are filled and documents are attached.
- Eligibility Check: The team will verify the applicant’s trade status based on the submitted documents.
- Approval/Rejection:
- Approval: If the application is successful, a confirmation email, WhatsApp message and/or a QR code will be sent to the applicant. The confirmation message/QR Code is a unique identifier for on-site badge collection.
- Rejection: If the application is incomplete or the applicant does not meet the criteria, a notification will be sent via email and WhatsApp. The applicant may appeal for the rejection if found it is an error by replying to the email or the WhatsApp message and the organiser will relook into the application and request for supporting documents for review.
- Pre-Arranged Business Meetings (Optional): Qualified and approved trade buyers may be invited to participate in the exclusive “Business Matching Program” to pre-schedule meetings with exhibitors. This invitation is subject to additional screening based on the buyer’s specific sourcing needs.
3.3. On-Site Procedure:
- Badge Collection: Present your confirmation email, WhatsApp message and or QR code at the designated counter to print and collect your visitor badge.
- Verification: Our staff reserves the right to request additional verification documents on-site to confirm your identity and trade status.
- Admission: Wear your visitor badge at all times. It is your pass for admission to the exhibition hall.
- Pre-Arranged Meetings: Proceed to your pre-scheduled meeting locations as per your itinerary.
4. Benefits

- Free Entry: Enjoy complimentary admission to the exhibition.
- Fast-Track Entry: Skip the queue with your pre-registration confirmation document.
- Exclusives:
- Access to Pre-arranged Business Meetings: Only qualified pre-registered buyers are eligible for this service, allowing for one-on-one sessions with key exhibitors.
- New Product Launch Events: Gain exclusive access to new product launch presentations and demonstrations.
- Special Rewards:
- Door Gift: Upon successful completion of their pre-arranged business meetings, eligible buyers will receive a premium door gift, often featuring a selection of professional-grade beauty and spa products from the exhibitor who attended the meeting.
- Lucky Draw: Successful participation in the pre-arranged business meetings also entitles you to a special Lucky Draw, giving you a chance to win significant prizes.
5. Terms & Conditions
- Data Privacy: By pre-registering, you consent to the collection and use of your personal data by the organizers for purposes related to the exhibition, including marketing, data analysis, and communication about future events.
- Verification: The organizer reserves the right to deny or revoke a buyer’s registration at any stage if the provided information is found to be false or insufficient.
- Badge Usage: The visitor badge is non-transferable. Anyone found misusing a badge will be immediately escorted out of the venue.
- Eligibility for Rewards:
- The door gift and lucky draw are strictly for buyers who successfully complete their pre-arranged business meetings, as verified by our staff.
- The quantity and nature of door gifts are subject to availability.
- Liability: The organizer is not responsible for any loss, damage, or injury sustained by visitors while attending the exhibition.
- Amendments: The organizer reserves the right to amend, add, or remove any of the above guidelines, benefits, and terms without prior notice. The decision of the organizer is final.

The Purpose of Our Business Meetings
This platform is designed to facilitate meaningful B2B connections. Our goal is to ensure that exhibitors meet with serious buyers and decision-makers who are ready to forge partnerships, discuss distribution opportunities, and make purchasing decisions for their businesses. This is not a platform for general inquiries or public visits.
Eligibility Criteria
Only individuals who meet the following requirements are eligible to book a meeting:
- Registered Business Entity: You must represent a legally registered company within the professional beauty, spa, or wellness industry. This ensures the legitimacy and professional intent of all attendees.
- Relevant Professional Roles: You must hold a professional position that includes a purchasing or decision-making role. This includes, but is not limited to:
- Business Owners & Directors
- Managers & Operators
- Buyers & Purchasing Personnel
- Physical Business Location: You must represent a business with a physical, verifiable location. This includes:
- A professional beauty salon or aesthetic clinic
- A day spa or wellness center
- A retail outlet or distribution center
The Meeting Process
- Verification: Your eligibility will be verified during the booking process to ensure all meeting participants meet the professional criteria.
- Preparation: Both parties are expected to come prepared with a clear agenda, company profiles, and product information to maximize the meeting’s effectiveness.
- Punctuality: All attendees are kindly asked to be punctual for their scheduled meeting to respect the time of all participants.
